Privacy policy of the New Community Foundation website

1. General Provisions 

  1. The New Community Foundation pays great attention to transparency in its operations and respects everyone's fundamental right to privacy. 

  2. We make every effort to ensure that the adopted safeguards and rules for the use of information collected in our databases guarantee the confidentiality and security of your data. 

  3. The administrator of the personal data, the principles of processing of which are described in this Privacy Policy, is the New Community Foundation, based in Warsaw, Poland. 

  4. This Privacy Policy is intended to explain how we handle information about you. 

2. Glossary 

  1. Foundation: the New Community Foundation with its registered office in Warsaw, 19/2 Drużbacka Street, registered in the register of associations, other social and professional organizations, foundations and independent public health care institutions of the National Court Register kept by the District Court for the Capital City of Warsaw in Warsaw, XII Business Division, under KRS number 0000837602, NIP 5252820685, REGON 385922304. 

  2. Service: websites with all functionalities located at the addresses: fnw.org.pl, ncf.org.pl and polskidialog.pl. 

  3. User: a person using the Service.

  4. Privacy Policy: this privacy policy.

  5. RODO: Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation).

3. Data collected through the Service 

The New Community Foundation respects the privacy of individuals using the Service and therefore collects personal information only to the extent that is necessary for the efficient operation and management of the Service and uses it only for that purpose.

4. Information Collection Policy

  1. As a result of using the Service, the Foundation may process the following personal information: name, contact information (email address, telephone, home address), date of birth, gender, demographic information, age. In some cases, within the framework of discussions and events organized by the Foundation, the Foundation may also process personal data referred to in Article 9 (1) of the RODO revealing political views, religious beliefs and worldviews.

  3. Provision of data by the User is voluntary, but may be necessary to use the functionality of the Website. 

  4. The Foundation, in carrying out its statutory activities, uses contacts of people interested in the areas of our activities. This is the Foundation's internal database, which serves to:

    a) to provide information on publications, including educational materials, and on the ongoing work of the Foundation;

    b) to invite and confirm attendance at events organized or co-organized by the Foundation;

    c) to inform about campaigns and actions undertaken by the Foundation;

    d) to establish and maintain contacts with media representatives.

5. Recipients of data 

  1. In our activities, we adhere to the highest ethical standards and take care to protect the privacy of those who have entrusted us with their data. Recipients of personal data of Service Users may be employees and associates of the Foundation who have been properly authorized and trained to process personal data of Users.

  2. We make the personal data stored by us available only to companies providing services on our behalf in the field of servicing the IT system and printing and mailing our letters and information materials, conducting educational and informational campaigns concerning the statutory objectives of the Foundation. These entities have access to the data entrusted to them only for the purpose of carrying out our order, based on an agreement on entrusting the processing of personal data. 

  3. However, some of the services we use (particularly those related to cookies technologies) may require processing outside the EEA by Foundation service providers operating outside the EEA.

6. Purpose, legal basis and periods of processing of personal data

  1. The Foundation processes personal data of Users using the Service for the following purposes:

    a) to enable establishing contact with the Foundation and to enable the Foundation to answer questions asked - the legal basis for processing is Article 6(1)(f) RODO (realization of the Foundation's legitimate interest, i.e. statutory purposes);

    b) to ensure the security and functionality of the Website - the Foundation processes personal data in order to analyze the correctness of the Website's operation, to obtain statistics on the Website's traffic and for archiving and analytical purposes. The Foundation also processes User complaints related to problems with the operation of the Service. The legal basis for processing for the above purposes is Article 6(1)(f) RODO (realization of the Foundation's legitimate interest, i.e. ensuring the operation of the Service);

    c) to investigate or protect against possible claims - in case of possible claims against Users or the need to protect against claims, the Foundation may process Users' data obtained through the Service. The legal basis for the processing is Article 6(1)(f) RODO (realization of the Foundation's legitimate interest, i.e. protection against claims or investigation of claims).

7. Users' rights related to data processing

  1. In connection with the processing of personal data, the User has the right to:

    a) access to the data - the Foundation is obliged to provide the User with all information about the manner and scope of processing of the User's personal data;

    b) rectification of data - if the User believes that the data is inaccurate or incomplete, the User may request that the Foundation rectify the data;

    c) deletion of data - the User is entitled to request the deletion of his/her personal data, and the Foundation is obliged to comply with the request if legally justified;

    d) restriction of processing of personal data - the User is entitled to request restriction of processing of his/her personal data in cases specified by law;

    e) portability of personal data - the User is entitled to request the transfer of personal data by the Foundation in a structured, commonly used machine-readable format, only if the processing took place on the basis of a contract or consent and was carried out by automated means);

    f) objection to processing - the User may object to the processing of his/her personal data on the basis of a legitimate interest or for statistical purposes (due to your particular situation) or to the processing of data for direct marketing purposes.

  3. In the event that a violation of data protection regulations is deemed to have occurred, the User has the right to file a complaint with the President of the Office for Personal Data Protection. 

8. Newsletters

  1. Recipients of newsletters who register on the Site agree to the processing of their data in the form of e-mail address, first name and last name for the purpose of sending the newsletter. The contact data provided by newsletter recipients are processed by the Foundation with the consent of the recipients for the purpose of sending informational and educational materials, including those containing information about the activities and events organized by the Foundation in the form of a newsletter. The legal basis for processing your data for this purpose is your consent (Article 6(1)(a) of the RODO) expressed through an explicit affirmative action in the form of completing and submitting a newsletter subscription form. 

  2. In this case, your data will be processed until you withdraw any of the consents (for the processing of personal data or for receiving information and educational materials). You may withdraw your consents at any time. Withdrawal of consent will result in inability to receive newsletters.  

  3. The data may also be processed for the realization of the legitimate interests of the Foundation, i.e. on the basis of Article 6(1)(f) of the RODO, for the purpose of establishing, investigating or defending against claims (therefore, in the form of securing claims) that may arise in connection with the conduct of the newsletter, including for the purpose of documenting the fact of consent in accordance with the principle of accountability expressed in Article 5(2) of the RODO, until the statute of limitations for claims under the law. 

  4. Recipients to whom your personal data may be transferred are entities associated with the distribution of the newsletter and entities supporting the Foundation, including IT service providers and web hosts.

  5. The e-mail address of the recipients of the Foundation's newsletters is associated with other data resulting from the history of contacts with the Foundation, such as, for example, first name, last name, function held and name of the institution or organization with which it is associated, telephone number, or which was voluntarily provided to us by the newsletter recipient due to other contacts with the Foundation. We use the data processed in the system to manage our relations with the public and plan the Foundation's activities, such as sending invitations to events we organize.

  6. Recipients of the newsletters have the right to request access to their data, correct it or object to its further processing. The Foundation provides newsletter recipients with the opportunity to remove their data from the contact database. 9. Invitations and information

  1. We process contact information in the form of name, surname, email address, and in some cases (for mailings) mailing address, home address or position and business address to send information about our activities, projects, actions and publications, educational materials and invitations to events we organize. Personal data voluntarily provided to us by persons we have contacted in connection with previously organized events and actions, or as part of other interactions (e.g., newsletter mailing), are stored in the system, associated with each other and processed to inform about our activities and invite to further actions or events organized by us.

  2. Recipients of our invitations, information and educational materials have the right to request access to their data, rectify it or object to its further processing. The Foundation provides the possibility to delete data from the contact database.

10. Request for deletion of data

If you request deletion of your data from our contact database or object to its processing, we will delete your data from the database and will not send you information you do not want. You should make a request for deletion by sending an e-mail to: biuro@fnw.org.pl

11. Changing the privacy policy of our service

We reserve the right to change the above privacy policy by publishing a new version on our website.

12. Provisions concerning cookies

  1. The Website uses text files commonly referred to as cookies in order to obtain statistical information about the traffic and activity of Users and the manner of using the Website, e.g. to adapt the Website to the needs of Users. Cookies are used to collect information about the use of the Website and correct configuration, as well as to remember User settings. 

  2. The Service uses cookies for statistical purposes using Google Analytics, subject to Google's Privacy Policy. Cookies stored from 1 minute to 2 years are used for analysis, research and audience auditing, in particular to create anonymous statistics that show how users of the Website use the Service. 

  3. We use marketing tools on the Service, such as the Facebook Pixel, which allows us to target visitors to the Service with personalized Facebook ads. This involves the use of Facebook cookies. For more information about Facebook's policies, please visit Facebook's website. Each Facebook user can manage personal privacy settings on their Facebook account.

  4. The Service may contain links to websites owned and operated by third parties (Facebook, YouTube, LinkedIn or X). Third-party websites have their own privacy policies and use their own cookies. The Foundation is not responsible for cookies sent by other websites to which we publish links on the Website. 

  5. The User may disable the acceptance of cookies in his/her browser at any time, but the effect of such a change may be to make it more difficult to operate the services provided through the Website. Due to the variety of available browsers and applications used to operate websites, the management of cookies in different browsers looks different, so before using the Website we recommend that you familiarize yourself with how to manage privacy/security features located in the menu of the browser you are using, and configure them in the way you prefer.
